Copy deadlines etc
Bookings:
For non-Velocity clients email transmissions are only reserved when a signed contract is received at Hamilton House. These may be sent by fax or email.
Telephone confirmation does not guarantee that a place has been reserved.
Proposed transmission dates are given for emails, but Hamilton House reserves the right to amend the date to compensate for system failure, telecoms failure, force majeure etc.
Format: All copy must be provided in Word as an attached file or in html. No other formats are accepted. All copy must be supplied in a single unified file. Illustrations are not accepted in the subscription service and are not recommended in the personal service. Attachments are not accepted in either service.
Deadlines:
1. Subscription service (Education management news): Copy must be provided one week before transmission. We will then review it and make any changes needed to be in keeping with the style of the magazine, and then submit a copy back to you for your final approval. You must approve the revised copy no later than three days before transmission.
2. Personal, Preference and Generic Emails: Final copy must be provided no later than three working days before transmission.
Reports:
Reports on the opens and one click through are included in the charge for the subscription service, personal and preferred email services. They are charged extra for generic emails, and must be booked in writing at the same time as the transmission is booked. They are sent to the client automatically within three working days of the completion of the job.
Late delivery of copy, failure to deliver copy, and late changes to copy
Rejection of copy for subscription services after re-writing by HHM: no charge is applied if the item is rejected within two days of receipt.
Late delivery of copy: It is generally not possible to accept copy that arrives after the due date. Where it is accepted there will be a late delivery charge of £35
Change of copy: It may not be possible to change copy once it has been accepted and set. Where it is possible there will be a copy change charge of £25 each time a change is submitted. This charge will not be applied to Subscription emails where the client reviews the initial reworking of the text by Hamilton House.
Failure to supply any copy for a booked mailing: charge of £35.
Change of date for transmission after booking is agreed: charge of £35
